Executive Assistant
Position Type: Full-time
Reports directly to the CEO, the Executive Assistant to the CEO provides executive, administrative, and development support to the CEO and the Senior Leadership Team (SLT). The Executive Assistant serves as the primary point of contact for internal and external stakeholders on all matters pertaining to the CEO’s Office. The Executive Assistant serves as a liaison to the Department Heads / Senior Leadership and senior management teams; organizes and coordinates executive outreach and external relations efforts; and oversees special project assessment.
Roles & Responsibilities
- Communicate with the department heads/stakeholders on the CEO’s behalf and coordinate with high-level meetings internally and externally. Coordinates meetings and strategic activities with the SLT, The Management Team, and external stakeholders.
- With a primary responsibility of supporting the CEO, support the executive team as directed to ensure that company goals and objectives are accomplished and operations run efficiently.
- Assists the CEO with daily administrative duties and completes various administrative tasks, including managing an active calendar of appointments; analyzing various business reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries, and agendas and compiling documents for meetings.
- Data management and report generation for entire group business units.
- Maintain and refine internal processes that support the highest-ranking executives company-wide, coordinating internal and external resources to expedite workflow.
- Manage communication between upper management and employees, liaising with internal and external executives on various projects and tasks.
- Communicates directly and on behalf of the CEO with Executive Directors, General Managers, and other department heads on matters related to new initiatives as directed.
- Plan and orchestrate work to ensure the senior executive’s priorities are met, organizational goals are achieved, and best practices are upheld.
- Manage professional scheduling for the CEO, including agendas, Business review arrangements, client management, and other company logistics.
- Assists in coordinating the agenda of senior management team meetings. Prepares an account of the conferences and designates and follows up on assigned action items.
- Coordinate complex scheduling and extensive calendar management.
- Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business.
